My client needed help organising his office – there was no clear system, things didn’t have a home, and papers were everywhere (as well as many being out of date and redundant). Besides being out of control, my client felt hypocritical telling his staff to keep their workspaces and work trucks orderly when he obviously wasn’t doing the same.
So in order to set a good example for his staff, as well as get on top of his own responsibilities and workload, he hired me to assist him in refreshing, reorganising and systemising his office. Over the course of a Saturday (when the office was closed so that there were no distractions) we worked from one corner of the room to the other, and decluttered and sorted all of the office. In the end, my client got rid of about 83% of what you can see in the before photos below. In the cabinets along the back wall, we established a personal effects shelf (a place to store tea, lunch things, wallet, deodorant etc) and used the space more effectively for filing and folders.
My client had shared that he often lost his phone amongst his paperwork, so we divided his desk into work zones to ensure that things had proper homes. We established a phone zone, a quoting zone, and we added dedicated in trays for staff dropping off material. For more on getting your workspace organised, see this post.
The biggest change was that we reconfigured the layout of the office. This way my client could have meetings with visitors and staff, and feel like the professional that he is. What the reconfiguration did as well, was to help his concentration. Previously, his desk looked towards the doorway which meant that every time someone entered the reception area that he would look up and sometimes get caught in (however lovely, but still distracting) conversation, which would mean that he’d lose track of the task currently at hand. By moving the desk, the flow of the room changed which positively affected his concentration and results.
To ensure that my client maintained his achievement, we worked a daily tune-up into his calendar so that at the end of every day he got everything back into its place, ready for the following day.
